Operations Administrator, JBI Library (New York, NY)

Role Overview

The Operations Administrator plays a vital support role in ensuring the smooth day-to-day functioning of JBI Library’s programs, communications, and administrative systems. Working closely with the operations, library, production, and development teams, this role coordinates logistics for programs and volunteers, supports patron and partner communications, maintains accurate records across multiple systems, and helps implement operational processes that enable staff to focus on mission-driven work. The Operations Administrator is highly organized, collaborative, and service-oriented, bringing strong attention to detail and technical follow-through to support accessible programming, volunteer engagement, and institutional efficiency across JBI Library.

  • Administration & Operations
    • Adding onboarded volunteers to Raiser’s Edge 
    • Monthly uploads to Constant Contact for organizational partners, patrons, volunteers for communications 
    • Coordinating with our web developer to plan the execution of new website pages 
    • Working on the back end of our website (ExpressionEngine) to make updates to various pages as needed  
    • Support the Wolfson Scholarship Outreach coordinator with tracking applications, coordination
    • Support the maintenance of accurate records of library transactions and inventory. 
    • Support the maintenance of patron and item records in our ILS database, place book orders in the system, run reports, and find efficiencies. 
    • Assist with cataloging and classification of library materials as needed to support the library
  • Programs
    • Record monthly and yearly metrics goals for program participation and types of programming offered. 
    • Support the library team in the creation, tracking, and publicizing of library programs (both in person and on zoom).
  • Outreach & Communications 
    • Collaborate with the library department to send monthly patron newsletter to individual and organizational patrons 
    • Send out quarterly volunteer communication that includes new volunteer opportunities, seasonal updates and accomplishments 
    • Send out a quarterly communication to contacts on JBI Library’s organizations’ contact list reporting organizational updates and new ways to get involved 
  • Volunteers 
    • Track volunteer submissions and collaborate with the Director team to ensure they receive follow-up
    • Establish and record monthly and yearly volunteer metrics 
    • Collaborate with other departments on any volunteer initiatives
  • Accessibility Consulting Services Administration
    • Support ACS (outside organizational) client relations and working closely with the production department and ACS coordinator

Required Qualifications

  • Experience in an administrative, operations, or program support role, preferably in a nonprofit or mission‑driven organization.
  • Strong organizational skills with the ability to manage multiple tasks and systems accurately and efficiently.
  • Clear, professional written and verbal communication skills.
  • Comfort using databases, spreadsheets, and digital tools; ability to learn new systems quickly.
  • Collaborative, service‑oriented approach and ability to work across teams.
  • Commitment to accessibility, inclusion, and respectful engagement with diverse communities.

Preferred Qualifications:

  • Experience supporting programs, events, or volunteer initiatives.
  • Familiarity with tools such as Constant Contact, Raiser’s Edge, Zoom, or website CMS platforms.
  • Experience in a library, educational, disability‑focused, or Jewish communal setting.
  • Comfort providing basic technical support for virtual programs.
  • Familiarity with Jewish culture or an interest in learning.

The salary range is $43,500-$50,000. The position also offers an attractive benefits package. The regular hours are 8:45 a.m.– 6:00 p.m., Mondays-Thursdays and in person (a 35-hour work week is standard). Occasional local travel required. This position is open until filled. This is a non-exempt position and is eligible for overtime.
