Job Overview

Salzburg Global Seminar seeks a self-motivated, proactive library studies graduate for an internship interested in supporting the creation of our institutional archives, private library, and programs. This unique opportunity allows the intern to receive real-world experience transforming digital documents into a usable archive and serve as the point of contact for Salzburg Global’s small, private collection.

This internship will focus on archival work, library oversight, and program support. In 2018, Salzburg Global moved its print documents to the Harvard University Archives. It is now seeking to systematize, organize and cull its digital documents. 

While in Salzburg, the intern will be able to support one or more programs scheduled during the internship. The intern will also manage our library and periodical collection. 

Duties

Archives

  • Work with Salzburg Global to develop and implement file and naming structure;
  • Review digital program-related documents to ensure documents adhere to structure updating and removing files as appropriate;
  • Identify important historical documents that may have been lost over Salzburg Global’s 75-year history;

Program-related

  • Researching potential program topics, partners, and participants, including compiling biographies;
  • Assisting in preparing program-related materials before each program;
  • Ensuring the smooth running of programs by providing event management and technical support (recording lectures, controlling the sound system, passing around microphones, showing visuals on the presentation screen, etc.);
  • Supporting program team and participants throughout the program and providing operational support;
  • Providing administrative support such as printing, copying, and mailing.

Library

  • Catalog all new acquisitions and library holdings in DublinCore in our open-source, integrated library system, OpenBiblio, and the social cataloging platform LibraryThing;
  • Assign call numbers in Dewey Decimal classification;
  • Re-shelf and shift books that are out of place; and
  • Write gift plate and thank you notes.

Periodicals

  • Maintain existing subscription and their renewals as required; and
  • Research to find articles relevant to the session topic.

Skills Required

  • Enthusiasm for the mission of Salzburg Global Seminar;
  • Recently completed or in the process of pursuing postgraduate studies in Library and information science or a related area, which should include at least one cataloging course;
  • Previous volunteer, internship, or professional experience in a library setting;
  • A can-do attitude, ability to multi-task, and a willingness to work flexible hours according to program needs;
  • Excellent writing and communication skills in English, including the ability to edit text;
  • Comfortable working with people from diverse cultural and professional backgrounds;
  • Proficiency in internet research and knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • German language skills are not required.

Additional Information

The internship is full-time for three months. The position is unpaid, but we will provide the successful candidate with free on-site accommodation at Schloss Leopoldskron, all meals, travel from and return to the intern’s country of residence, insurance, and visa processing assistance. We will also provide excellent networking opportunities with the international participants of our programs.

Internship Period

Each internship lasts for three months, with exact dates to be announced. Not all internships are available throughout the year. Due to program scheduling and accommodation reasons, we regret that we cannot accommodate internship requests outside these fixed periods.

Internship start dates for the Library Internships are available in mid-January and the end of August.
