File Management Intern, Boston Medical Center, Boston, MA

Position Summary

The File Management Intern is responsible for developing the classification, organization, and retention of BMC’s Development Office shard file drive. The intern will research established practices for electronic document storage and make recommendations for retention of files, naming conventions, and versioning histories. The ideal intern will have knowledge of Information Sciences as well as a background in Library Sciences.

Responsibilities/Duties

Key Deliverables:

  • Create a folder structure
  • Develop an ordered (alpha/numeric) naming convention for files
  • Build a categorization of files based on functional areas within the development office
  • Document key deliverables and decisions
  • Review existing records on the shared drive and develop retention guidelines
  • Transfer historical records to the archives
  • Purge unnecessary non-records and eligible temporary records

Requirements

Recent college graduate or student enrolled in a related graduate or undergraduate degree program, preferably beyond a second semester junior.

Knowledge and Skills

  • Must have the ability to perform multiple tasks and prioritize duties
  • Ability to work independently
  • Must possess excellent interpersonal, verbal and written communication skills
  • Must have an interest in performing new and varied work assignments, and be flexible with regard to work assignments
  • Extensive knowledge of Microsoft Excel, Access, PowerPoint and Word is required. Knowledge or ability to learn Minitab.
  • Must have the ability to maintain confidentiality
