Access Services Supervisor (Full-Time), Fairfield University, CT

DEPARTMENT: DiMenna-Nyselius Library
BASIC FUNCTION: Manages all Access Services Department functions.  Hires, trains and supervises Access Services department staff.  Hires, trains, schedules and supervises student employees.  Oversees all access services-related tools and technologies. Controls the fine and billing functions of the library. Coordinates building access and maintenance.
UNUSUAL WORK CONDITIONS Physical requirements: mobility; must be able to lift materials off shelf.  Requires some evening and weekend hours.
KNOWLEDGE AND SKILL NEEDED:
EDUCATION: Bachelor’s Degree preferred or equivalent related experience.
EXPERIENCE: At least two years of library experience preferred.  Demonstrated computer literacy and supervisory skills. Good communication and interpersonal skills are essential. Experience working in an academic setting and/or with a college-aged population preferred.

Access Services and Reserves Specialist

  *   9 evening and weekend Circulation Supervisors
  *    25-30 Student Employees
REPORTS TO: Associate Dean for Public Services and Coordinator of the Academic Commons Partnership

Principal Duties:

1. Oversees and manages all Access Services operations. This includes:

  *   providing oversight of the main service point, with extensive service hours, of the library;
  *   oversight of access services-related tools and technologies including the integrated library system, student information system, financial management system, and human capital management system;
  *   developing and maintaining workflows for all aspects of Access Services operations;
  *   maintaining patron records;
  *   overseeing fines, billing and missing book processes;
  *   explaining and interpreting circulation policies to patrons;
  *   assessing and resolving problems and referring to other staff as appropriate;
  *   updating and writing policy and procedures manuals and recommending changes as needed;
  *   answering routine inquiries and referring patrons in need of professional assistance to librarians;
  *   coordinating the on-campus delivery of Library and interlibrary loan material;
  *   coordinating mailing of library resources to remote patrons;
  *   compiling statistical reports.
2. Manages the print book collection.  This includes:

  *   coordinating shelf reading, shelving and stack labeling assignments;
  *   planning for stack shifting and projecting future shelving needs;
  *   identifying books for repair or replacement;
  *   supervising the access of reserve materials.
3. Controls the fine and billing functions of the library.  This includes:

  *   overseeing the process for overdue, fine, and other patron notices;
  *   recording status of delinquent accounts;
  *   preparing detailed semester reports for the Bursar and Fairfield Prep for billing purposes;
  *   maintaining relationship with the Bursar’s office;
  *   searching and recording information regarding the missing book process.
4. Coordinates building access and facilities management. This includes:

  *   performing routine inspection of building for issues requiring work orders;
  *   submitting and monitoring progress of work orders;
  *   engaging with Facilities staff in the building;
  *   providing building access for Facilities staff;
  *   communicating with Associate Dean for Public Services regarding building issues and maintenance;
  *   coordinating building opening and closing;
  *   partnering with Department of Public Safety regarding building security and staff safety protocols;
  *   monitoring building security and providing the initial response to emergencies and issues related to building access and security.
5. Supervises and supports staff.  This includes:

  *   recruiting, hiring, and training;
  *   coaching and mentoring, as appropriate;
  *   meeting with all staff members individually and as a department/unit on a regular basis;
  *   overseeing the flow and quality of work;
  *   coordinating staffing schedules;
  *   communicating effectively with staff concerning department/unit and library-wide matters;
  *   evaluating performance.
6. Supervises student employees.  This includes:

  *   recruiting, hiring, and training;
  *   coaching and mentoring, as appropriate;
  *   overseeing the flow and quality of work;
  *   coordinating staffing schedules;
  *   evaluating performance;
  *   managing payroll and financial aid; maintaining relationships Payroll, and Financial Aid.
7. Participates in the growth and development of the Library.  This includes:

  *   embodying the mission and values of the Library and the University in our everyday work life;
  *   communicating effectively with supervisor concerning pertinent Library and/or University matters;
  *   assisting in the discussion and formulation of policies and procedures;
  *   keeping current with developments in job responsibilities;
  *   acting as a responsible participant in staff, committee, and/or task force meetings ;
  *   attending and participating in Library and University events;
  *   monitoring developments in Access Services through attendance at meetings and workshops, membership in professional associations, and the reading of professional literature.
8. Promotes safe and secure working conditions.  This includes:

  *   promoting the proper utilization of equipment and materials;
  *   notifying supervisor immediately of any unsafe working conditions.
