Overview. The Massachusetts Moderators Association is a voluntary association established to foster and encourage moderators of towns in the Commonwealth to exchange ideas and information with the goal of enhancing the conduct of town meetings to reflect the highest ideals of democratic government. The Association is organized and operated exclusively for the education and civic purposes set forth under Section 501(c)(3) of the Internal Revenue Code.
The Association has a small archives of materials currently located in the Hazen Memorial Library in Shirley, Massachusetts. The archives included six boxes of records created by the Massachusetts Moderators Association, as well as research materials, both published and unpublished, that related to the activities of the Association, but not to the Association itself.
In 2002, an Archivist Consultant wrote a report entitled “Massachusetts Moderators’ Association Records – finding Aid and Recommendations.” She recommended that as the collection grows, changes should be made to the finding aid. She also recommended that the Association establish some administrative documents – including a long range plan with goals and a collection development policy. The Archives Committee is seeking an Intern to develop a collection policy, long range goals for the Archives, and assist in developing a program to digitize the most important parts of the archives.
Activities. The Archives Committee expects the Intern to do the following:
– Prepare a Collection Policy: Under the direction of the Archives Committee, the Intern shall develop a mission statement, a definition of the scope of the collection, and a list of collection goals and objectives.
– Prepare a Long Range Plan for the Archives: With the assistance of the Archives Committee, the Inter should develop and long range plan for the archives including, but not limited to, various options of where the archives might be collected, housed and digitized.
Oversight. The Archives Committee, with the guidance of the President, will supervise the Intern.
Term. Anticipated to be one year.
