Description:

Assist in the acquisition, care, descriptions, and access of new and existing archival collections and College records in a wide variety of formats, including physical, digitized, and born-digital.  Serve as the Head of Archives & Special Collections in his/her absence.  

Essential Duties:   

1. Assist with the maintenance, care, and access to existing collections held in the Phillips Memorial Library.  Collaborate with the Head of Archives and Special Collections to develop and implement department policies, procedures, and workflows related to accepting new collections materials, organizing, and description collections for access.  Arrange, organize, and describe collections following best practices; help to develop department workflows to accomplish tasks and larger scale projects to make the College history and records more accessible to internal and external users,  Assist with the operation of the collections management tool, and related actions such as data entry, inventory tools, and collection descriptions to maintain accurate records.  

2. Supervise the Archives Assistant.  Supervise and train undergraduate student workers in basic archival processing, collections maintenance, and handling to accomplish long-term collections care goals.  Provide feedback on work progress and areas of improvement.  Identify opportunities for students to learn new concepts and skills related to accomplishing projects.  Manage scheduling to ensure appropriate staff coverage for research visits. 

3. Digitize and make available to users, archival materials for a variety of uses.  Serve as the primary liaison with colleagues in the other library departments to coordinate digital projects related to archival collections, including providing digitized materials for instruction, exhibits, digital humanities projects, etc.  Identify collections for digitization, working with the Head of Archives and Special Collections to plan large and small projects.  

4. Support the research services and access mission of the department, including, but not limited to providing research support to researchers, supervising in-person use of collections, assisting with archival instruction, and contributing activities such as exhibits and campus events.  

5. Support the mission of the Archives and Special Collections and Phillips Memorial Library through other tasks as assigned, such as library committee work, special projects, etc.

Requirements:

  • Master’s degree in Library Information Science, Archives and Records Management, Archival studies, or an equivalent degree from an accredited institution
  • Three to five years’ experience in archives, including accessioning and processing archival collections, collection management, and/or records management or an equivalent combination of education and experience
  • Demonstrated work experience using or managing collection management tools (i.e. ArchivesSpace)
  • Strong knowledge of metadata standards and professional descriptive and cataloging standards (DACS, EAD, LCSH, etc.)
  • Experience supervising student workers, interns, etc.
  • Public or customer service experience
  • Excellent organizational and project management skills
  • Strong computer skills including Microsoft Office suite (Word, Excel, etc.)
  • Database or data entry knowledge
  • Effective oral and written communication skills
  • Research and analytical skills
  • Understanding of best practices regarding digitization of archival materials
