The Specialist, Digital Solutions (“Specialist”) is a key member of the Research Services team. The Specialist works closely with the Sr. Managers to maintain the firm’s 200+ premium electronic resource research resources and vendor accounts.

Position Responsibilities:

  • Along with the Sr. Managers, responsible for the acquisition, licensing, and renewal of electronic resources, as well as the management of their related records in various systems.
  • Work directly with vendors to ensure proper administration of the firm’s contracts; manage loose-leaf filing vendors in the U.S. offices.
  • Utilize Wrike, Goodwin’s project management and workflow solution, to track new acquisitions and renewal details, requirements and deadlines.
  • Maintain accurate and up-to-date electronic resource contract records in ResearchMonitor, Goodwin’s subscription management and usage tracking software.
  • First point-of-contact to troubleshoot electronic service subscription access issues.
  • Collaborate with Sr. Manager, Research Services Contracts & Licensing to review electronic resource use, vet subscription proposals and ensure licenses align with access needs of associated legal practice groups.
  • Partner with Sr. Manager, Research Systems & Applications to test ResearchMonitor software and server upgrades prior to deployment.
  • Apply resource updates to ResearchMonitor and troubleshoot access issues with vendors.
  • Maintain the core attorney deskbook master list and ensure that deskbooks are distributed efficiently across firm-wide practice areas; responsible for coordinating firm-wide office copy bulk orders to maximize available discounts. 
  • Prepare annual budget projections for office copy materials. Review monthly accounting statements to ensure payments are accurate. Assist with budget re-forecasting.
  • Manage external loose-leaf filing vendor services in the firm’s U.S. offices, including scheduling outsourced staff, managing outsourced staff work and reconciling and paying invoices for this function.
  • Process invoices for electronic services, including research databases. Review usage data download files to identify invalid charges and rectify billing data for the firm’s client re-billing process.
  • Oversee and support the Research Operations Coordinator’s cataloging and collection maintenance of print collection.
  • Active role in training the Research Operations co-op student. Prepare assignments and evaluate work product throughout the semester. Participate in student’s final evaluation at the end of the term.

Required Qualifications:

  • Master’s Degree in Library & Information Science; Master’ s degree can be substituted for relevant experience in a special or academic library.
  • Proficiency with computer systems and applications.
  • Ability to effectively manage work to high quality standards, with a meticulous eye for detail.
  • Strong organizational skills; ability to prioritize and execute tasks, multitask and meet deadlines..
  • Effective interpersonal, written and oral communication skills; ability to communicate effectively with all levels of the firm in a professional manner.
  • Ability to work collaboratively with members of the Research Services department, administrative staff and attorneys at the firm.
  • Technical aptitude with ability to quickly learn new systems and applications.

Preferred Qualifications:

  • 3-5 years of electronic resource management and operations experience.
  • Experience with EOS or other integrated library system.
