Amherst College invites applications for the Collection Management Specialist / Electronic Resources position. The Collection Management Specialist assists with the management and maintenance of electronic resources, and works closely with the Electronic Resources & Discovery Librarian to assure continuity of access and coverage of subscriptions and research databases. Performs acquisitions processing of invoices and assists with statistical cost analysis. Participates fully as a member of the Collection Management department.
Summary of Duties and Responsibilities
Electronic resource management
- Performs electronic resource knowledge base maintenance; enables linking to subscribed content, monitors changes, and reviews activation of packages and titles for accuracy, including URLs and coverage dates.
- Tracks subscription changes such as platform, publisher, collection, and title changes.
- Corresponds with vendors and publishers to resolve inconsistencies in coverage, access, and platforms.
- Reviews A-Z database list for accuracy; checks for database name changes and tests access
- Troubleshoots end-user access issues; verifies active resource status, contacts providers/agents to resolve access issues and communicators resolution to original requestor and other users as necessary.
- Assists Electronic Resources & Discovery Librarian with projects related to electronic resource management
- Monitors shared email and communicates with vendors, students, and library staff in other departments regarding subscriptions and access
Acquisitions
- Verifies correct invoicing of journal titles and packages and enters invoices manually or by EDI into the library’s online accounting software. Uses vendor’s online database for claims and stays current with statements.
- Maintains accurate vendor contact information in FOLIO Organizations
- Provides support in making data-driven acquisitions and renewal decisions; adds cost data to usage statistics annually and update as increases or cancellations occur during the year
Qualifications
Required:
- Associate’s degree, or 3-5 years of experience in lieu of degree
- Demonstrated close attention to detail along with managing tasks efficiently and effectively
- Demonstrated analytical, organizational, and problem solving skills
- Strong verbal and written communication skills
- Ability to work closely and problem-solve with colleagues from all library departments and with students, faculty, and staff
- Ability to work independently and collaboratively
- Proficient computer skills and demonstrated ability to learn and apply new technologies and software to existing operations
- Demonstrated commitment to effectively supporting a broadly diverse and intentionally inclusive community
Preferred:
- Bachelor’s degree
- Related work experience
- Experience with electronic resources management and troubleshooting
- Familiarity with automated library systems, discovery layers, and link resolvers
- Familiarity with Workday
- Familiarity with EBSCONET and EBSCOadmin
