Woods Hole Oceanographic Institution is currently searching for an Institution Archivist to join the Library Department. This is a regular, full-time, exempt position, and is eligible for full benefits. The Archivist acquires, accessions, arranges, catalogs, preserves and makes accessible the contents of the WHOI Archives. With little supervision, the successful candidate will work creatively and independently to establish objectives and meet deadlines by demonstrating full competency in one or more areas of information systems as well as developing appropriate solutions to increase access to information.
The internal working title for this position will be Information Systems Associate II or Information Systems Associate III. The final title will be determined commensurate with the selected candidate’s experience and skills.
Essential Functions
Information Systems Associate II
- With some supervision, applies acquired knowledge of established procedures to perform the prescribed tasks related to information or library systems in support of oceanographic research.
Information Systems Associate III
- With little supervision, applies a broad knowledge of established procedures to perform the established tasks related to information or library systems in support of oceanographic research.
All Levels Essential Functions
- Utilizing current standards and technologies, appraise, describe, arrange, preserve and make accessible print and electronic materials in the WHOI Archives. Exercises creativity regarding adaptations or modifications to policies and procedures to ensure appropriate access to collections.
- Utilizing current standards and technologies, prepares finding aids to implement online access and improve search capabilities for archive collections.
- Provide reference assistance, retrieve items/information for patrons. Work one on one with scientists to assess potential donations.
- Develop and promote records management policies, participates in writing reports and documentation of archival procedures and policies.
- Maintain DLA image collection in Institution image management system including working with staff and volunteers on scanning, image loading, and metadata.
- Responds to reference requests from patrons relating to access to scientific data.
- Serves as backup to Data/Systems Librarian for adding newly accessioned ship’s research data to server.
- Performs other duties as deemed necessary by supervisor.
Education & Experience
- A minimum of a Bachelor’s in a related field with more than five years of experience.
- In the absence of a formal degree, considerable equivalent work experience is required.
- Successful candidates will have demonstrated the technical skill, motivation, independence, and creativity necessary to complete difficult tasks.
- MLS, CA or CRM and experience in archives and ArchivesSpace preferred.
While there is no appropriate time limit for appointment at this rank, exceptional individuals will be promoted. Candidates should develop a mastery of specialized techniques or ingenuity and creativity in selecting and evaluating approaches to problems. They should develop the ability to apply an analytical approach to solutions and to assimilate the details and significance of various analyses, procedures, and tests prior to being considered for promotion
Physical Requirements
Physical requirements of this position include lifting 25-50 lbs and carrying 25-50 pounds. This position is mostly sedentary with occasional standing and walking. This position requires repetitive motion, kneeling, bending, stooping, climbing ladders/stools, use of hands for basic grasping/manipulation and reaching above and below the shoulders. Occupational requirements include depth perception, near vision, peripheral vision, ability to distinguish basic colors, working around others, working with others, and working alone. Exporsure to dust or other irritatnts will occur.
