Systems and Applications Administrator, New England Aquarium, Boston, MA

The New England Aquarium System and Applications Administrator will be responsible for administering systems and applications used by the New England Aquarium. Primary functions include administration, training, and supporting staff using Smartsheet, Office 365 including SharePoint and Teams on NEAQ systems and applications. This position will report to the Director of Information Technology and collaborate with the IT Manager and the IT Department to ensure operational security, maintenance, governance and efficient use of IT resources.
Schedule
Monday – Friday, 9:00 am – 5:00 pm approximately 35 hours weekly
Essential Functions

Ensure the operational health of the Microsoft Office 365 online environment including security, availability, performance, interoperability, governance and disaster recovery.

Administration, support and configuration of Active Directory and Microsoft Office 365 for staff.

Maintenance/sustainment of new and existing Office 365 resources including user accounts, Teams sites, SharePoint sites and sub-sites, lists, libraries, and content (including pages, workflows, and items).

Administer and support an enterprise-level Microsoft online infrastructure including spam filters, policies.

Troubleshoot application and security issues when alerted by monitoring software.

Training and educating end-users on O365 capabilities and collaboration tools (OneDrive, Skype, OneNote, SharePoint, Teams, Outlook etc.)

Support staff to use data analytics tools such as PowerBI.

Further adoption of by creating, training and supporting staff use of Smartsheets,

As needed work with the IT Department and external vendors in supporting and securing IT infrastructure, including on premise and cloud applications.

Assist in supporting Help Desk team as Tier 2 support.

Manage IT projects and be part of project teams furthering IT initiatives.

Conduct routine monitoring and analysis to include audit log reports evaluation, system and storage utilization reports, site and system usage, growth reports, and manage site collection quota settings.

Create documentation including training materials for stakeholders as well as internal IT procedures.
Qualifications
Minimum Training and Experience
Requires BA/BS degree or equivalent experience in Computer Science, Information Technology or a related field, five years working in information technology with two years of systems administration experience.
Knowledge, Skills & Abilities

Experience administering O365, Exchange, Active Directory and SharePoint environments

Help desk experience and ability to provide technical and end-user support

Experience helping organization(s) with implementation of Office 365

Experience training staff to use IT resources and creating relevant documentation/materials

Project management experience

Smartsheet experience a plus

General knowledge of servers, networking, systems and applications used by non-profit organizations

Experience with CRM platform(s) a plus

Hands on experience in process automation, best practice approach, technology efficiency, and effectiveness.

Strong customer service and problem solving skills

Occasional evening or weekend work, as well as on-call availability to address major incident support activities.
