The Cataloging and Archival Processing Department of the University of Kansas Libraries consists of 28.5 FTE staff members in a variety of classifications along with a large number of student assistants. The Department is responsible for the cataloging and processing of all resources for the Libraries, including print and electronic monographs, print and electronic serials, integrating resources, multimedia, government documents and special collections archival materials. This cataloging is done through OCLC, an international bibliographic database and the Department uses the Ex Libris Voyager ILS to maintain bibliographic, authority, holdings and item data used for cataloging records. The edited bibliographic and authority information along with call numbers and holdings and item information are used as the basis for the Libraries’ Online Catalog. In addition to the on-going cataloging of new receipts, the Cataloging Department is heavily involved in the inventory of books and the updating of records associated with materials being moved to the Library Annex.
Job Description
- 65% Annex inventory: Oversees the removal and transfer of select volumes from library stacks to the Library Annex. Verifies the content of selected volumes against their bibliographic, holding and item records to ensure accurate representation in the online catalog. Modifies holding and item records to resolve discrepancies and inaccuracies. Resolves a variety of complex problems. Evaluates and resolves holdings for duplicate volumes. Identifies and evaluates volumes in need of preservation treatment; performs basic preservation tasks. Quantity of materials processed reflects the complexity and difficulty of the available records, the priorities of the department, as well as a growing understanding of department policies/procedures, and an increasing skill in applying them.
- 20% Project management: Monitors and adjusts workflow in single or multiple Annex inventory projects. Collaborates with team members to ensure optimal transfer rates of material to the Library Annex. Keeps required statistics to track individual and unit performance. Keeps supervisor and other team members informed of progress for each project. May supervise and train student assistants performing routine tasks. May document new or revised inventory procedures.
- 10% Special projects: Participates in inventory projects for non-print materials, including sound recordings and microform. Participates in inventory projects for subject libraries. Participates as needed in stacks maintenance and collection shifts.
- 5% Meeting and teamwork activities: Attends and participates in Department meetings and other team building activities. Shares responsibility for the effective functioning of Department meetings and other team building activities. Commits to positive, solution-oriented problem solving.
Required Qualifications:
- High School diploma or completion of GED equivalency.
- Minimum of one year library or related experience.
Preferred Qualifications:
- Bachelor’s degree
- Project management experience
- Demonstrated ability to perform repetitive tasks with a high level of accuracy
- Demonstrated ability to organize work effectively in a production-oriented work environment
- Demonstrated problem solving skills and flexibility in the midst of evolving priorities
- Working knowledge of the Voyager cataloging module
- Recent work experience related to records management
- Supervisory experience
