The HR Processing and Archiving Intern will be auditing all active employee files using data from the Human Resources Compensation Management System (HR/CMS). The intern will track their progress using Microsoft Excel and/or Microsoft Access. The intern will be responsible for tracking, boxing and archiving termination files. The intern will also copy personnel files, conduct confidential filing and perform general administrative duties as required. Other duties may include:

 

  1. Add new material to file records, and create new records as necessary.
  2. Assign and record or stamp identification numbers or codes in order to index materials for filing.
  3. Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements.
  4. Enter document identification codes into systems in order to determine locations of documents to be retrieved.
  5. Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
  6. Place materials into storage receptacles, such as file cabinets according to classification and identification information.
  7. Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.

 

Skills Required:

  1. Must be highly organized and pay close attention to detail
  2. Must be able to work well independently in an efficient and detailed manner
  3. Must have excellent written and oral communication skills
  4. Must be able to prioritize tasks and balance projects
  5. Must be able to use Internet-based databases
  6. Must be proficient in MS Office products such as Outlook, Word, Excel and Access
