Library Assistant II – (Nighttime Circulation Supervisor)

Location: Fitchburg, MA

Schedule: Fall/Spring Semesters hours*: Sunday- Thursday  3:15 pm-11:45 pm. On a limited number of days during final examination periods, hours may be adjusted to reflect a later closing time.

Summer Hours and Academic Calendar breaks: Monday – Friday 8:45 am – 5:15 pm

Pay Rate: annual salary of $42,824.57

This is a full-time, benefited, non-exempt position. The position is governed by the AFSCME/1067, Council 93 Collective Bargaining Agreement. The agreement outlines the grade and step compensation model.

General Statement of Duties: Responsible for evening supervision of the Circulation Desk, including supervising student workers. Assists with the processing of interlibrary loans borrowing requests by Fitchburg State faculty, staff and students and lending requests from other libraries. Contributes to the smooth operation of the Access Services Department that includes Circulation, Reserve and Controlled Digital Lending, Interlibrary Loans, and Stacks Maintenance.

Detailed Statement of Duties and Responsibilities:

  • Responsible for evening supervision of the Circulation Desk. Responsible for the operation of library facility in absence of supervisor.
  • Assume responsibility for operation of library facility in absence of supervisor.
  • Aids library users by responding to inquiries and providing information concerning materials, library rules and procedures and library facilities; suggests and explains the proper methods of locating and using materials to facilitate patrons’ use of the library.
  • Assists with stacks maintenance as it relates to the non-librarian components for the General, Children’s Literature, Young Adult, Oversized, and Audio/Video collections.  Participates in stacks shifts, inventory and other related duties, including supervising shelving of books and periodicals.
  • Work with day staff to interview and select candidates for, as well as train and supervise, part-time library assistants, and student workers. 
  • Prepare work schedules of student workers and other subordinates; maintain weekly timesheets.
  • Assist in the processing of lending requests from libraries for our library materials. 
  • Assist in the processing of borrowing requests by Fitchburg State faculty, staff and students for materials from other libraries. 
  • Compile statistics, generate various reports, and assist with the department’s annual reports. 
  • Responsible for maintaining circulation records in the library system as well as overdue records for books loaned to other libraries. 
  • Responsible for financial transactions for billing libraries for lost items; lost book fees collected from other libraries; billing Fitchburg State students, faculty and staff for lost Interlibrary Loans books, etc.
  • Assist with functions of circulation, including the blocking of delinquent patrons and study room reservations. 
  • Assist with processing materials to be placed on reserve, both physical and electronic, including controlled digital lending.
  • Determines the need for equipment and supplies, and reports needs to their supervisor. 
  • Assists in the planning and preparation of Library exhibits, displays and student support activities. 
  • Assists Head of Access Services in ensuring that the library building is safe, clean and maintained.
  • Other duties as required.

Requirements:

Qualifications Required at Hire:

  • High School diploma required. 
  • Ability to prepare reports for the Dean, and  their supervisor Head of Access Services.
  • Knowledge of Google Suite or Microsoft Office Suite: Word, Access, Excel, PowerPoint (or similar software). 
  • Ability to organize work, assess priorities, work independently and work with interruptions. . 
  • Excellent oral and written communication skills; ability to follow oral and written instructions.
  • Experience in a customer service environment involving phone, e-mail, chat, mail, and face-to-face interaction.
  • Ability to interact professionally with coworkers, students, faculty, and other library users. 
  • Ability to acquire knowledge of the methods, materials, tools, and equipment used in academic library work.
  • Ability to work assigned schedule during the academic year, including inclement weather days, and the flexibility to vary the schedule as required.  
  • Must be able to pass a complete background check satisfactory to the university as well as a CORI and SORI check.

Preferred Qualifications:

  • Experience working in a library.
  • Bilingual (Spanish-speaking).
  • Ability to work with diverse populations. 
  • Experience with a library automated circulation system, preferably ExLibris Alma/Primo.
  • Knowledge of interlibrary loan and document delivery procedures.
  • Knowledge of principles, practices and techniques of supervision.
  • Supervisory experience, including hiring, training, scheduling.
