Circulation Manager, Albert Alphin Library, Boston Conservatory at Berklee College of Music 

POSITION SUMMARY: 

Reporting to the Associate Director of User Experience and Operations, the Circulation Manager provides and oversees circulation and access services for library users at the Albert Alphin Library. The Circulation Manager directly supervises the Evening Circulation Supervisor and all student workers. Duties include managing the worker schedule, assisting with circulation tasks, answering reference questions, processing course reserves, assisting with collection development and accessioning materials and resolving fines issues with students. 

The Circulation Manager serves as the key point person for retrieving items off-site and from the Stan Getz Library. Manages the relations with the Optima currier. On occasion the person in this position may be needed to fill in for other shifts during the absence of various staff. This is a year-round on campus position.

ESSENTIAL FUNCTIONS/PRIMARY DUTIES AND RESPONSIBILITIES: 

● Works closely with the Evening Circulation Supervisor to ensure coordination on all aspects of circulation services and projects.

●Supervises and delegates projects to student workers and ensures desk coverage as scheduled. Monitors substitute worker list. Hires, trains and supervises student workers. Establishes desk coverage schedule. Monitors substitute workers lists and make appropriate arrangements for desk coverage. 

● Keeps open lines of communication with library service desk staff at Berklee’s Stan Getz Library and participates in cross training between the two libraries.

● Completes accessioning of newly acquired materials. Supports the Collection Management Team to strengthen the collection. 

● Participates in implementation, review and modification of the Albert Alphin Library administrative policies and procedures.

● Takes the lead on processing course reserves on a timely basis.

● Answers in-person and online reference questions and provides other research guidance by offering reference interviews and appointments. Educates patrons about catalog and database searching.

● Assists patrons with computer, and printer/copier usage as appropriate. Serves as the contact person for technology issues and updates. 

● Resolves library fines and lost items issues. 

● Assists with catalog systems functions, including running statistical reports and provisional cataloging.

● Updates the Department Coordinator on binding and office supplies inventory.

● Is the contact for the ILL Optima delivery courier service and provides assistance with other ILL matters.

● Organizes and retrieves materials in off-site storage. Serves as the key point person for moving materials between Berklee’s Libraries and delivers/retrieves materials.

● Helps with reorganizational projects regarding the library’s collections.

● Attends Library departmental meetings and other special events as required. 

● Works collaboratively with other library staff members. Assists in programming for library events.

● Other administrative duties and projects as assigned.

MINIMUM JOB QUALIFICATIONS:

● Undergraduate degree in music or performing arts.

● Three years of supervisory skills and demonstrated ability to work independently.

● Experience working in an academic library.

● Solid understanding of information technology and/or library systems.

● Working knowledge of library principles and procedures.

● Demonstrated ability to anticipate user needs and seek ways of providing satisfactory solutions.

STRONGLY PREFERRED:

● Master’s degree from an accredited program in library science or current student enrolled in a library science degree program.

● Experience working in the public services area of academic libraries.

● Knowledge of dance and theater arts.

● Excellent interpersonal and team collaboration skills.
