Project Records Manager/Archivist, Harvard Library, Southborough, MA

Duties and Responsiblities 

Reporting to the Senior Records Manager/Archivist, the Project Records Manager/Archivist participates in a Harvard University Archives (HUA) Records Management Services (RMS) team project to research, survey, appraise, minimally describe, re­house as needed, and transfer an extremely large quantity of nonpermanent and permanent University records created across the University over several decades and stored off­site at the Harvard Depository. This positon ends on June 30, 2018 with a possibility of renewal. Incumbent will: assess data quality; manually inspect records and make high level appraisal recommendations; update inventories, conduct research on Harvard departments and centers; apply records schedules where applicable; coordinate record disposition; and maintain statistics. The majority of material is 20th century paper with a minority of analog audio­visual records.

The Depository, located outside of Boston, is Harvard Library’s archival media storage and retrieval facility, including storage for Harvard’s temporary storage of non­current records. The climate­controlled Depository is a critical resource for students, faculty, staff, and researchers across the University.

  • Assesses data quality in current inventories and updates disposition status
  • Manually inspects selected records and makes high level appraisal records for both current information needs or historical purposes
  • Based upon project criteria established by the HUA, identifies materials for immediate destruction, future destruction, or future transfer to the permanent collections of the Harvard University Archives
  • Updates selected inventories for records eligible for transfer to HUA permanent collections
  • Performs additional research on department and centers as needed, either remotely or at the Harvard University Archives
  • Helps identify records against University records schedules, where applicable
  • Coordinates with Senior Records Manager/Archivist, HUA/RMS staff, and staff at Depository to effect destruction or transfer
  • Consults regularly with Senior Records Manager/Archivist to ensure project success
  • Keeps statistics and contributes to monthly progress reports
  • Attends in person and/or virtually Harvard University Archives staff meetings

Basic Qualifications

  • Master’s degree in library science, information science, information management, or archival/records management or related studies required.
  • 2 years of experience with institutional archives, or related records management/archives experience, preferably with 20th century records.
  • Knowledge of records management, archival appraisal and de­accession processes essential.
  • Knowledge of computer systems and databases, preferably MS Office applications including Excel and Access.
  • Must be able to work at an office located at the Harvard Depository facility in Southborough, Massachusetts and come to work occasionally at the University Archives in Cambridge, Massachusetts.

  • Experience working with academic, business, or research records preferred.
  • Excellent interpersonal and communication skills.
  • Ability to work both collaboratively and independently and with a minimum of supervision.
  • Communicates issues that affect plans, policies, and procedures in a timely manner.
  • Flexibility and the capacity to thrive in a time­limited working environment.
  • Handles confidential information in accordance with University, state, and national policies and regulations.
  • This position requires lifting and moving boxes up to 40 pounds.
