Digital Collections and Archives (DCA) supports the teaching and research mission of Tufts University by ensuring the enduring preservation and accessibility of the university’s permanently valuable records and collections. DCA assists departments, faculty, and staff in managing records and other assets. DCA collaborates with members of the Tufts community and others to develop tools to discover and access collections to support teaching, research, and administrative needs in addition to providing reference and instruction services.

The University Records Manager has primary responsibility for leading the university-wide Records Management program. In consultation with appropriate administrators, develops and maintains records retention schedules and policies. Works with other DCA staff to develop strategies and methods for managing and preserving electronic records and digital assets. Surveys departments’ records and provides recordkeeping advice, primarily about appropriately retaining, storing, destroying, and protecting institutional data. Facilitates the transfer of appropriate records to DCA. Develops and delivers training to the Tufts community on managing records and institutional data. Strategizes with the Director and other DCA staff on efforts to document university activities on an enterprise scale. Participates in university-wide policy development related to institutional data management and governance. 

Responsibilities include:

  • Provide leadership of university-wide records management programs and initiatives. Develop programs, conduct outreach, and engage stakeholders. Monitor compliance with records retention schedules and update schedules as needed to support legal and regulatory requirements, university policies, and archival best practices.
  • Conduct surveys and provide recordkeeping advice to departments, offices, and programs.
  • Develop and deliver records management training and outreach activities.
  • Participate in policy management, development, and consultation activities. Coordinate with administrators in schools and divisions to ensure appropriate consultation.
  • Participate in departmental activities within DCA including developing policies and procedures. Serve on library and other committees. Participate in general planning and policy development in the support of DCA strategic directions. Participate in Tufts committees related to primary job assignment.

Qualifications

Basic Requirements:

  • 3+ years of experience in records management or archives management.
  • MLIS from an ALA-accredited institution, with a concentration in Archives or Records Management, or equivalent combination of education and experience.
  • Strong knowledge of office productivity applications.
  • Strong knowledge of records management and archival theory and practice.
  • Excellent written and oral communication skills including the ability to convey complex records issues to diverse constituencies, from IT administrators to faculty.
  • Knowledge of higher education administration and management.
  • Proven skill at collaborating in a team environment.
  • Knowledge of IT systems and services.
  • Familiarity with recordkeeping systems and ERMS, including vendor solutions for a variety of recordkeeping services.
  • Familiarity with issues involving information security for electronic records in a networked environment, as well as legal issues governing university records
  • Candidates should exhibit a strong user focus and public service orientation, excellent analytical, interpersonal skills, and an ability to embrace change.

 

Preferred Qualifications:

  • Certified Records Manager (CRM) certification preferred but not required.
  • Experience in a higher education environment preferred.
  • Experience working in an active University Records program preferred.

Special Work Schedule Requirements:

  • Occasional evening and weekend hours may be required.
