Membership and Development Assistant, Boston Athenæum, Boston, MA

The mission of the Boston Athenæum is to serve its members, the broader community, and scholars throughout the world by preserving and augmenting its collections of books and art, by providing library services and cultural programs, and by preserving and enhancing the unique atmosphere of its landmark building.

The Membership and Development Assistant is primarily responsible for the day-to-day processing of membership and contribution activity.  The holder of this position reports to the Manager of Annual Giving and works collaboratively with all members of the Advancement team while assisting with a wide range of membership, annual fund, and other development activities.  This position is full-time, 35 hours per week, with full benefits and is classified as “non-exempt.”  Some weekend and evening hours are required.

RESPONSIBILITIES:

Membership : (50%)

  • Process all membership applications, renewal payments, and associated recordkeeping
  • Coordinate all monthly in-house mailings (direct mail and email) for Membership renewal notices
  • Responsible for membership renewal cycles
  • Edits card log and prints all permanent membership cards
  • Oversee all aspects of the Membership Ambassador Program.
    • Coordinates the planning and execution of the annual Open House with the Manager of Annual Giving and Coordinator of Member Services.
    • Manages the Membership and Development Intern.
    • Works closely with members and share member insight with department colleagues.

Service/Front of House: (15%)

  • Serve as a secondary point of contact for membership and annual fund inquires, after the Coordinator of Member Services.
  • When needed, lead prospective members on a tour of the Athenæum.
  • Answer the Membership and Development Assistant direct line, as well as the general Membership phone line.
  • Answer member e-mails from his/her personal e-mail address, as well as to the general Membership e-mail address.
  • Assist with staffing of events and the Membership Office (night or weekend shift as required, and additional occasional hours as needed).
    • Effectively communicate information about the Athenæum to members, prospective members, and visitors.

Annual Fund: (30%)

  • Process annual fund gifts and other contributions. 
  • Coordinate acknowledgment letters and mailings. 

Data Management: (5%)

  • Work closely with the Administrative Assistant to prepare bank deposit reports for the Finance Department. 
  • Assists in Raiser’s Edge database management, including data-entry and clean up.

 

The Membership and Development Assistant may be asked to perform other activities as needed that fall within the scope of responsibility and requirements of the position.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree
  • Strong customer service experience
  • Effective oral and written communication skills
  • Ability to manage multiple tasks efficiently and well.
  • Proven accuracy and close attention to detail
  • Ability to work independently
  • Excellent interpersonal skills
  • Fully proficient in Word and Excel, including Mail Merge and budgeting
  • Raiser’s Edge software experience strongly preferred
  • Willingness and ability to work some evenings and weekends.
