General Duties

The Senior Accountant performs professional accounting work preparing and maintaining financial records of the Library’s operations and assisting the Business Director with organization and management of the Library’s financial resources.  

General Description 

The Senior Accountant creates and maintains financial records and/or files necessary to support the operation of the Library.  This work is extremely detailed, complex, and often ambiguous.  The Senior Accountant performs his or her work with independence and is responsible for the proper recording of expenditures.  The Senior Accountant is the liaison between the Department Directors and the Business Director.  He/she provides bi-monthly actual to budget reports and works with the Department Directors, Associate Director and Business Director to maintain accuracy and compliance to the established goals. 

Other specific tasks include yearly preparation of Departmental Budgets, based on both historical data and current fundraising/funding goals.  The Senior Accountant will assist the Business Director in establishing the overall annual budget, again, with focus on individual departments (operational, fund, and capital).  Successful performance requires a comprehensive knowledge of general and fund accounting, as well as a clear understanding of the Library’s various operations.  The Senior Accountant reports to the Associate Director.

Other general tasks include:

  • Processing payables, receivables and cash transactions on a daily basis
  • Analyzing and reconciling accounts at each month-end, including bank reconciliations, and assisting with general ledger close
  • Assisting with interim payroll and grant analysis
  • Assisting with E-Rate administration
  • Assisting with annual audits
  • Special projects as assigned
  • Assisting with payroll processing in the absence of the HR Coordinator
  • General office management tasks including ordering supplies, maintaining supply inventory, and processing of mail

This employee handles sensitive financial and personnel information and confidentiality is required.  This requirement is reinforced by the close working relationship which this individual must have with the several Administrative staff. Advanced skills in Microsoft Office Suite, particularly Excel.  Experience with Fundware or comparable accounting software.  Ability to understand and communicate complex accounting and financial issues.  Ability to manage multiple tasks and projects simultaneously while adhering to deadlines. 

He/she is expected to make significant decisions without recourse to supervision, is responsible for the operation of the Business Office in the Business Director’s absence.  Initiative is often called for when unforeseen problems or circumstances arise, particularly in the absence of the Business Director. Because the Senior Accountant may often be the first to realize that problems are arising, he/she is expected to be alert for potential difficulties, and to take action to see that such problems are promptly addressed.

Work is reviewed regularly by the Business Director, Associate Director, and occasionally by the Library’s auditors.  This individual’s work must meet the standards which are generally accepted by the accounting profession, and/or any relevant regulatory agency.

Experience and Training

Bachelor’s degree in accounting from an accredited four year school.

Three to Five years accounting experience required; experience with fund accounting preferred.

Hours:  37½ hours per week, full time position 

Annual Salary:  $50,000 minimum + benefits
