Senior Library Assistant II, Account Clerk, Shrewsbury Public Library, Shrewsbury, MA

Qualifications: 

  • College degree, with advanced training in office and financial control procedures, secretarial skills and bookkeeping; three years of responsible experience; or an equivalent combination of education and experience.
  • Knowledge of personnel, financial and office practices and procedures.
  • Working knowledge of Library operations and functions.
  • General knowledge of payroll and accounting procedures, including computer applications.
  • Ability to work independently and prioritize tasks.
  • Ability to work with financial data, maintain detailed records and prepare reports.
  • Experience with municipal/office software and technology, strong customer service orientation and good oral and interpersonal skills required.
  • Reliable transportation and MA driver’s license required.

Duties: 

  • Manages accounts payable system, matches invoices; enters coding data, verifies accurate invoicing and charging to appropriate accounts, and creates purchase orders.
  • Coordinates and plans the staff schedule for all employees; arranging coverage for known and unexpected absences; assures compliance with Town personnel policy in assignment of hours and schedule. 
  • Prepares department payroll, recording overtime, and benefit time; calculates part-time employee hours; enters data and submits to the Town Accountant; compiles and submits monthly attendance report. 
  • Submits departmental payment schedule to the Treasurer; balances receipts of fines and memorial donations and submits to the Treasurer.
  • Keeps departmental personnel informed of changes in benefits and policies; responds to staff questions about personnel policy.
  • Verifies Trust Fund balances and expenditures; maintains data for state and other reporting requirements. 
  • Assists with development of department budget; collecting data on previous funding and expenditures; creates proposed salary schedule.
  • Prepares financial and compliance forms for state aid application and state certification requirements.
  • Manages Library State Aid Grants and all other Library grants and donations; compiling reports; overseeing disbursements; maintaining accurate and detailed records for reporting purposes.  Manages the payroll and financials of the Sunday Sponsorship program.
  • Manages supplies (ordering and inventories) for all Library departments; assuring adequate office, technical processing and computer supplies.
  • Assists at the circulation desk as required. Performs similar or related work, as required, or as situation dictates.

Compensation and Schedule:

This is a full-time Library Administrative Assistant II, level A-3, position, with a Salary Range of $37,863 to $45,152. Work schedule is Monday through Friday 8:30 to 5:00 pm.
