Lewis Project Processing Assistant, Harvard University Law School, Cambridge, MA

The Lewis Project is a multi-year undertaking to consolidate and reduce the HLSL collections that are housed on campus.  Upon completion of the project, the on-site Anglo-American, foreign, and international legal materials will all be shelved in Langdell Hall.  The rest of the volumes that have been identified as essential to maintain a rich research collection will be processed and shipped to the Harvard Depository.

Reporting to the Lewis Project Manager, and working closely with the HLSL bibliographers and selectors, this position performs the clerical and technical procedures necessary to process and ship U.S., foreign, and international legal materials to off-site storage.   This position has autonomy to modify the day-to-day activities to the end of maintaining a positive workflow.

Essential Functions

  • Working from lists generated by the bibliographers and selectors, pulls volumes from stack locations in Lewis and Langdell and transports to processing area.
  • Checks and edits online holdings and item records for the volumes identified for the project.
  • Identifies, researches, resolves and/or refers problems resulting from incorrect, incomplete or conflicting bibliographic records, consulting with other library units as necessary. Resolves problems arising from obsolete, conflicting, or incorrect cataloging; updates records with enhanced bibliographic information as needed.
  • Evaluates materials regarding physical condition and routes volumes in need of preservation treatment to the conservation technician.
  • Processes materials for shipment to HD. Processing includes cleaning up records and bar-coding volumes, ordering or providing protective enclosures as needed, and referring volumes to other library units for their attention.
  • Schedules and coordinates shipments to HD.
  • Collaborates with other library staff to develop and test Macros for project use.
  • Coordinates the work of student assistants and may assist in training student workers.
  • Maintains quality assurance efforts for the above tasks.
  • Maintains statistics on edits and updates to bibliographic records, HD accessions, and volumes sent to other units for additional work.

Basic Qualifications

  • High school diploma required.
  • Library experience/experience with online bibliographic systems or related work experience required.
  • Proficiency with Windows based applications and willingness to use a computer terminal required.
  • Keyboarding competence (35 wpm) required.

Additional Qualifications

  • College degree preferred.
  • Demonstrated ability to establish priorities, organize diverse activities and workflows; problem solving ability.
  • Able to meet project deadlines.
  • Able to perform detailed, repetitive tasks accurately.
  • Able to work both in a collaborative team environment and independently, with minimal supervision.

Additional Information

  • This position requires the ability to push loaded book trucks, to lift boxes weighing up to 40 pounds, and/or move multiple boxes using a hand truck.
  • Some exposure to dust or mold.

This is a term appointed position currently expected to continue through June 30, 2016, subject to business needs and available funding.
